Nothing is paid until it is proven.

Each invoice is compared against the contract terms in force on the supply date. Rate, period, reads, levies and VAT. Anything that does not match becomes a dispute with a reference, an owner and a date, and it stays open until the supplier settles it.

The monthly cycle

Collect, check, act, report.

Step 1

Collect

Supplier invoices and meter readings in, from portals, mailboxes and site visits.

Step 2

Check

Every invoice validated against contract terms; sub-meters reconciled to the head meter.

Step 3

Act

Disputes raised with the working attached; occupier recharge packs built from real reads.

Step 4

Report

A building report every quarter, and the opportunities that came out of the data.

What a month of checking looks like

The exception is the product.

Most invoices pass. The ones that do not are the reason the service exists, and each one leaves a trail you can follow back to the clause it broke.

What we find

Consistently wrong looks exactly like right.

The errors that survive are the ones that never look odd. They are found by reconciling against something independent, not by reading the invoice more carefully.

  • Dropped digits in occupier reads, carried forward until the annual total stopped matching.
  • Service meters running backwards, reducing recorded consumption month after month.
  • Four water meters that had never been read, on a site billed for three years.
  • A void floor burning five times the power of an occupied one.
  • Agreed capacity far above anything the site has ever drawn, charged for daily.

£70,360 recovered and £395,827 under challenge. Twenty disputes are open right now, each with an owner, a next action and a date. Recovery is recorded against the case, so the number on this page can be refreshed rather than remembered.

Recharging

From the meter, not the floor plan.

Occupier charges built from actual reads, with the arithmetic shown on every statement.

Apportioning by area is quick and indefensible. When an occupier disputes a charge the only useful answer is the read it came from, the rate applied and the period covered. Residential schemes run to Ombudsman and Renters’ Rights obligations.

  • 128 recharge packsRaised from meter data, reconciled back to the supplier invoice for the same period.
  • £1.7m billed onThrough those packs, with the working attached to each statement.
  • 790 metersOn the data model, head meters and sub-meters reconciled against each other.
Where to start

Send us an invoice you are not sure about.

We will tell you what is wrong with it and what the same error is likely worth across the rest of the portfolio. No charge, and nothing follows from it.
